Privacy Policy

What information KnowDish collects, why we use it, the services we use to understand our product, and the choices you have.

1. Who we are

KnowDish is operated by OUTBOX LABS LTD, company number 17394954, with its registered office at Suite A, 82 James Carter Road, Mildenhall, United Kingdom, IP28 7DE.

For data-protection purposes, OUTBOX LABS LTD is the controller of personal information where we determine how and why that information is processed.

2. Information we may collect

Information you give us

This may include:

  • your email address;
  • information submitted through contact or feedback forms;
  • communications you send to us;
  • responses you choose to give to an optional survey shown inside KnowDish;
  • account information if KnowDish introduces user accounts; and
  • preferences or comparison information you deliberately choose to save.

Information generated when you use KnowDish

This may include:

  • pages viewed;
  • providers and meals viewed;
  • filters and sorting options used;
  • comparisons started or completed;
  • buttons and links clicked;
  • navigation through the service;
  • referring pages;
  • browser and device information;
  • operating-system information;
  • approximate location derived from network information;
  • technical identifiers;
  • timestamps;
  • errors and performance information;
  • interaction information used for product analytics; and
  • a reconstruction of your interaction with KnowDish pages, where session replay is enabled (see section 5).

Analytics data may be associated with pseudonymous technical identifiers used to recognise a browser, device or session. We do not use analytics tools for the purpose of identifying anonymous visitors by name.

3. Why we use information

We may use information to:

  • provide and operate KnowDish;
  • respond to enquiries and feedback;
  • understand how people use the service;
  • improve search, comparison and navigation;
  • measure which features are useful;
  • identify usability problems;
  • develop and test improvements;
  • diagnose errors and performance issues;
  • protect the service against misuse or security threats; and
  • comply with legal obligations.

4. Our lawful bases

Depending on the processing activity, we may rely on:

Legitimate interests

For example, operating, securing and improving KnowDish where our interests are not overridden by your rights.

Consent

For example, where consent is required for optional analytics, session replay or similar technologies.

Contract

Where processing is necessary to provide a service you have requested under a contract with us.

Legal obligation

Where processing is necessary for us to comply with applicable law.

Where we rely on consent, you may withdraw that consent at any time.

5. Analytics and product improvement

We use analytics to understand how people use KnowDish, identify usability problems, measure the performance of product features and improve the service.

We use a single analytics provider, PostHog, for product analytics, web analytics, session replay, heatmaps and surveys.

Product and web analytics

This may include information about:

  • pages viewed;
  • providers and meals viewed;
  • filters or sorting options used;
  • comparisons started or completed;
  • features used;
  • links and buttons clicked;
  • navigation through KnowDish;
  • referring pages;
  • device and browser information;
  • technical identifiers;
  • errors; and
  • performance information.

We use this information to understand how the product performs, identify friction in user journeys and decide which parts of KnowDish to improve.

Session replay and heatmaps

Interactions with KnowDish may be recorded so that we can understand how people use the site. A session replay reconstructs a visit from what happened in your browser: the pages you saw, and actions such as clicks, taps, scrolling, cursor movement and navigation from one page to the next. Heatmaps aggregate the same kind of interaction across many visits to show where people click and how far they scroll.

A replay is a reconstruction of the KnowDish interface, not a video of your screen. It does not capture your camera or microphone, other browser tabs or applications, or anything you do away from KnowDish.

Surveys

We may occasionally show an optional survey inside KnowDish. Answering is voluntary, and we receive only the responses you choose to submit.

We do not want analytics to capture sensitive content.

We configure analytics and session replay with privacy protections and will not intentionally send passwords, payment information, free-form private communications or other information that users would reasonably expect to remain private.

All of the above runs only if you accept analytics. Until you choose, and permanently if you reject, none of it operates.

We use analytics to improve KnowDish. We do not use these tools to make automated decisions about you that produce legal or similarly significant effects.

6. Cookies and similar technologies

KnowDish uses cookies and similar technologies, including technologies used to remember privacy choices and understand how the service is used.

Optional analytics technologies are used only in accordance with the choice you make through our cookie controls. PostHog does not start or receive any data until you accept analytics, and you can change or withdraw that choice at any time using the Cookie settings control in the KnowDish footer.

7. Who we share information with

We may share information with service providers that help us operate KnowDish, including providers of:

  • website hosting and infrastructure;
  • cloud databases;
  • security and error monitoring;
  • communications services; and
  • PostHog for product and web analytics, session replay, heatmaps and surveys.

These organisations may process information on our behalf and, in some circumstances, may process certain information as independent controllers under their own privacy terms.

We may also disclose information where required by law, to establish or defend legal claims, to protect our rights or users, or in connection with a business sale, restructuring or acquisition.

We do not sell your personal information to meal providers or data brokers.

8. Links to meal providers

KnowDish links to third-party meal providers and other websites. Once you leave KnowDish, those organisations operate under their own privacy practices. We are not responsible for how a third party handles your personal information.

9. International transfers

Some technology providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we will rely on an appropriate transfer mechanism such as an adequacy regulation, approved contractual safeguards or another lawful mechanism.

10. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, taking into account operational, security and legal requirements.

Retention periods vary according to the type of information. For example:

  • correspondence may be retained while an enquiry is active and for a reasonable period afterwards;
  • security and technical logs may be retained for a limited operational period;
  • analytics information, including session replays, is retained according to our configured settings with PostHog; and
  • information required for legal or accounting purposes may be kept for the applicable statutory period.

11. Your rights

Depending on the circumstances, UK data-protection law may give you rights to:

  • request access to personal information we hold about you;
  • ask us to correct inaccurate information;
  • ask us to erase certain information;
  • ask us to restrict certain processing;
  • object to certain processing;
  • receive certain information in a portable format; and
  • withdraw consent where processing is based on your consent.

12. Security

We use reasonable technical and organisational measures designed to protect personal information. No internet-based service can guarantee absolute security.

13. Children

KnowDish is a general meal-comparison service and is not designed specifically for children.

14. Changes to this policy

We may update this Privacy Policy as KnowDish develops or where our legal or technical practices change. The latest version will be published on this page.
